Secure every admin account and password, check that your backups actually work, and make a list of every system and supplier they managed. Then bring in temporary or permanent support so nothing falls between the cracks. You do not need to panic, but you do need to act this week.

That Monday-morning feeling

It usually starts with a short email. Or a phone call. Or worse, an empty desk and a laptop left behind.

Your IT person is gone. Maybe they found a new job, maybe they fell ill, maybe things just ended badly. Whatever the reason, the same questions hit you at once. Who knows the passwords? Who do we call when the printer stops, the Wi-Fi drops or someone gets locked out of Outlook? And what happens if something serious goes wrong tonight?

Take a breath. We have helped many Belgian companies through exactly this moment, and the good news is that it is almost always manageable. What matters is doing the right things in the right order. This guide walks you through it, step by step, in plain language.

The first 48 hours: protect what matters

In the first two days, your only goal is control. You want to be sure that you, and not just one former employee, can get into every critical system.

Take over the admin accounts. Think of Microsoft 365 or Google Workspace, your domain name, your firewall, your Wi-Fi, your servers and your cloud subscriptions. Make sure at least two trusted people in your company have admin access.

Change the important passwords. Even if your IT person left on good terms, this is basic hygiene. Start with global admin accounts, email, VPN and remote access tools.

Check multi-factor authentication (MFA). Often the second factor is linked to one person’s phone. Move it to a company device or add a second trusted person.

Disable their personal access. Block their user account, remove them from admin roles and revoke remote access. Keep the mailbox, so you do not lose information.

Confirm your backups work. Do not just check that a backup exists. Ask someone to actually restore a test file. A backup you cannot restore is not a backup.

Write down who to call. Your internet provider, telephony supplier, software vendors and hardware suppliers. Find the contract numbers and support contacts while you still remember who they are.

If any of these steps feels unclear or you simply cannot find the passwords, that is your signal to get help right away rather than next month.

The first two weeks: get a clear picture

Once the doors are locked, you can look at the bigger picture. The aim now is to make sure your company never depends on one person again.

Make an inventory. List every laptop, server, printer, network device and software licence. Note who uses what, how old it is and when warranties or subscriptions expire.

Look for documentation. Check shared drives, password managers, notebooks and the departing person’s mailbox. You may find network diagrams, configuration notes or supplier agreements. If there is almost nothing, you are not alone. Many small IT teams keep everything in their heads.

Review your security basics. Is antivirus active on every device? Are updates installed? Is MFA turned on for everyone? Unpatched systems are one of the most common ways in for attackers, and a gap in IT staffing is exactly when things slip.

Talk to your team. Ask colleagues what they used to ask the IT person for. Those small daily requests (new accounts, password resets, a broken screen) are easy to forget but quickly pile up.

Decide how to move forward. You have roughly three options: hire a new IT employee, outsource IT to a managed service provider, or combine both. Hiring takes time, often months. A partner can step in within days and also cover holidays, sick leave and specialist questions.

How ITAF can help

At ITAF, we have been the IT partner of Belgian SMEs for more than 25 years. A sudden departure is one of the most common reasons companies call us, and we know how stressful it feels. Here is how we take it off your plate.

Emergency takeover. We help you regain control of admin accounts, passwords and MFA, securely and quickly, so your business is never locked out of its own systems.

A full IT check-up. We map your devices, network, licences, backups and suppliers, and turn what was in one person’s head into clear documentation that belongs to your company.

A help desk your team can rely on. Your colleagues get one number and one email address for every IT question, with people who know your setup.

Proactive monitoring. We keep an eye on your servers, network and critical systems around the clock, so we often fix problems before anyone notices them.

IT security. From firewalls and antivirus to MFA and updates, we close the gaps that tend to appear when nobody is watching.

Microsoft 365, cloud and telephony. We manage your modern workplace, cloud infrastructure, connectivity and VoIP, so everything works together.

On-site support when needed. Some things just need a technician at your desk. Our field engineers come to you.

You can rely on us completely, or keep an internal IT colleague and let us back them up. Either way, your company never depends on a single person again. And since 2026, ITAF is part of the Geniki group, which gives us even more expertise to draw on, while you keep the same people and the same service.

Need help now? Contact ITAF and we will help you plan your first steps.

Frequently asked questions

What should I do first when my IT person leaves unexpectedly?

Secure access. Make sure trusted people in your company have admin rights to Microsoft 365, your domain, firewall and servers, then change the critical passwords and disable the former employee’s accounts.

Is it a security risk when an IT administrator leaves?

It can be. IT staff usually have the most powerful access in the company. Even with the best intentions, forgotten accounts, shared passwords and remote access tools leave doors open. Closing them quickly is simply good practice.

What if nobody knows the admin passwords?

Do not panic. For most systems, such as Microsoft 365, domain registrars and many network devices, there are official recovery procedures. They take some time and proof of ownership, so start right away. An IT partner can guide you through it.

How do I know if our backups are working?

Ask someone to restore a real file from the backup to a test location. Also check how far back the backups go and whether there is a copy stored off-site or in the cloud.

Should I hire a new IT person or outsource IT?

It depends on your size and needs. Many SMEs choose a managed IT partner because it is faster to start, covers holidays and illness, and brings specialist knowledge. Others keep one internal IT colleague supported by a partner. Both work, as long as no single person is a point of failure.

How quickly can a managed IT provider take over?

Often within days for the urgent basics, such as securing access and setting up a helpdesk. A full inventory and documentation usually follows in the weeks after.

How can I prevent this from happening again?

Keep documentation up to date, store passwords in a company password manager, give at least two people admin access, and review your IT setup regularly. A partner like ITAF can make this part of the routine.

You are not starting from zero

Losing your IT person feels like losing the keys to your own building. But with a few focused steps, you get those keys back, and you come out stronger: better documented, better secured and no longer dependent on one person.

Want someone to walk through it with you? Get in touch with ITAF. We will listen to your situation, tell you honestly what needs to happen first, and help you keep everything running.

Book a free call

When your IT person leaves without warning, do three things first.
